NOTICE REGARDING FEE PAYMENTS
2nd February 2017

The College has at all times tried to be lenient towards students in enforcing deadlines of fee payments. It is with this policy that each semester’s fee is arranged for students to be paid in monthly installments.

However, over the years, the College has observed the following:

  • Students are under the misconception that fees are monthly fees, and that they only have to pay fees for the months they attend to classes.

  • Students are also under the misconception that if they pay their fees through online banking, fines for late fees do not apply

  • That the first payment for each semester is to be paid on the day classes start

Due to these behaviors by students, the College is facing a lot of difficulties in meeting costs and keeping the College well managed. In order to alleviate these difficulties, the following policies will be enforced strictly from this semester onward.

  1. LATE PAYMENT OF MONTHLY INSTALMENTS:

    Each monthly instalment MUST be paid by the 5th of each calendar month. Any payment made AFTER the 5th will be subject to a fine of Rf300/-. THIS WILL APPLY EQUALLY TO STUDENTS WHO MAKE ONLINE BANK TRANSFERS AS WELL.

    Students who make online transfers should understand that the College receives a number of online bank transfers every day, and the College CANNOT determine who made which payment from the bank statements. THEREFORE, THE COLLEGE WILL CONSIDER THAT FEES HAVE BEEN PAID ONLY WHEN THE BANK RECEIPT IS UPLOADED TO THE PORTAL.

    Even if you have made bank transfers before the 5th, if you DO NOT UPLOAD receipt to the portal before the 5th, your payment will be recorded as a late payment, and the late fine WILL have to be paid.

    If you fail to pay your fees by the 10th of each month, all services provided for you by the College will be suspended until fees are paid. If you have not settled fees by the 15th, you will be disenrolled from the College, and you will have to re-register again if you wish to continue the course. In this case, a re-enrolment fee of Rf 1,000/- will be applicable.

  2. CONTINUING STUDENTS MODULE ENROLMENT:

    Continuing students are expected to submit module enrolment forms for the next semester before the due date published by the Registrar. You are also expected to pay the first instalment by the date set by the Registrar. This is necessary for the College to determine student numbers for each module for the semester, recruit lecturers, arrange and finalize timetables and make many administrative arrangements, such as organize Virtual Campus servers, logins and prepare attendance records before the start of semester.

    To ensure a smooth start to the semester, the following policies will be strictly enforced:

    Students who do not submit module enrolment forms or make first payments before the due date published by the Registrar will have to pay a late module registration fee of Rf 500/-. 

    After one week of the due date, students who do not register the intent to continue in the next semester by registering modules and making appropriate fee payments will be disenrolled from the College. Should you wish to continue after you have been disenrolled, you would have to pay a fee of Rf 1,000/- before being re-enrolled. In case there are no places available in the modules the student wishes to enroll in, the Registrar may REFUSE enrolment in that semester and ask the student to enroll for the next semester.

    The College regrets that these policies have to be enforced strictly, but this has come about due to the irresponsibility shown by numerous students.

  3. LENIENCY

    In spite of the above policies, any student who is having financial difficulties in settling fees should contact Student Services to make alternative arrangements, and the College will be more than happy to assist students who have difficulties. BUT THIS WILL ONLY BE ACCORDED TO STUDENTS WHO MAKE ARRANGEMENTS BEFORE THE DUE DATE. Requests made after the due date MAY NOT be entertained.
